Terms & Conditions
This agreement is made between Wave Events Ltd as owner of the equipment (hereinafter called the owner) and the hirer.It is agreed as follows:
- If hiring us for entertainment all bookings are taken on the understanding that the venue is in possession of the necessary entertainment & liquor licenses. We are not responsible for their actions, if the venue is found to be in breach of the terms of their license or legal restrictions.
- The owner will let and the hirer will take on hire the Audio Visual Equipment.
- The duration of the hire shall be as agreed.
- The equipment may be used during the period of the hire only by persons appointed by the hirer and may not be rehired or loaned to any other external company.
- The hirer shall pay to the owner as payment for the hire of the equipment for the period the sum stated in the final agreement. If the hirer fails to pay the full amount by the agreed date, we will seek to obtain the full amount outstanding, along with the costs of debt recovery and additional court and ancillary costs, by using a debt collection agency.
- The hirer shall pay for all consumables used in the equipment during the period of hire.
HIRER'S OBLIGATIONS:
- The equipment is solely the responsibility of the hirer during the hire period. Any damage or loss to the equipment (excluding software) must be reported immediately to the police and to the owner, and the owner will seek recompense for replacement equipment (excluding software).
- The hirer must ensure that -
- The equipment is kept safe and dry
- The equipment is locked up when not attended
- The equipment is not stored in a vehicle
HIRER'S LIABILITY
- The hirer acknowledges that he/she shall be liable in respect of the damage or loss of the equipment.
- The hirer is also responsible for any damage to our equipment caused by any person at your event. You may be charged for the full cost of any repairs required should the damage be due to the negligence of your guests. You will be advised of any damage as soon as it is caused.
- When the owner provides staff to the hirer for an event we do not tolerate violent, aggressive or abusive behaviour from anyone under any circumstances. We also reserve the right to terminate our services at any time that we feel our personal safety is under threat. We do not take responsibility for ejecting any unwanted persons from any venue.
- You will be advised of any problems that we may have in this respect with any of your guests.
- If hiring entertainment from the owner please check the performance times on your booking. Artist's can play on if requested although the right to refuse is held by the individual artist at each event. A charge of £50 an hour or part hour must be paid in advance by the way of cash
OWNER'S OBLIGATIONS
- The owner shall supply the equipment in a safe and useable condition.
MECHANICAL REPAIRS AND ACCIDENTS
- If the equipment is damaged or requires repair whether because of an accident or breakdown, the hirer shall advise the owner of the full circumstances by telephone or email as soon as practical.
- The hirer shall not arrange or undertake any repairs without the authority of the owner except to the extent that the repairs are necessary to prevent further damage to the equipment or to other property.
- The hirer shall not -
- Sublet or hire the equipment to any other person or company without the prior permission of the owner.
- Permit the equipment to be operated outside his authority
RETURN OF THE EQUIPMENT
- The hirer shall at or before the expiry of the term of the hire, deliver the equipment at the agreed time, or obtain the owner's consent to the continuation of hire.
IMMEDIATE RETURN OF THE EQUIPMENT WHERE DEFAULT OR DAMAGE
- The owner shall have the right to terminate the hiring and take immediate possession of the equipment if the hirer fails to comply with any of the terms of this agreement, or if the equipment is damaged. The termination of the hiring under the authority of this clause shall be without prejudice to the other rights of the owner and the rights of the hirer under this agreement or otherwise.
PAYMENT & CANCELLATION
- The balance of your booking will be required before the start of your hire in cleared funds. This can either be in advance via BACS transfer, cheque or credit/debit card. Please make cheques payable to Wave Events Limited and post to 'Wave Events Ltd, Caxton Point, Caxton Way, Stevenage, Hertfordshire, SG1 2XU'. Or make payment via BACS to our bank account which details are as follows. Account name: Wave Events Limited Sort Code: 40-03-06 Account Number: 31556894
- If we have agreed to invoice for payment after the event we must be paid in the time specified on the invoice. If you are a company immediate means we will give you 15 days grace after the event to pay the invoice. Late payment will incur a 10% increase of the final invoice amount.
- Cancellation charges are as follows:
- Between 45 - 59 days notice until function date, 25% of total fee
- Between 30 - 44 days notice until function date, 50% of total fee
- Less than 29 days notice until the function date, full fee

Our delivery times are 8am - 7pm Monday to Friday, 9.30am - 7pm Saturdays & Sundays. There may be a small charge for out of hours delivery.
